Administrative Volunteer (Southmead Hospital)

Purpose: To assist the Volunteer Manager with various administrative tasks

Commitment level: Where: Gate 18 Southmead Hospital  -  When: Tuesday - Friday 9am-5pm (minimum 4 hours twice a week or 6-8 hours weekly (flexible)

Description of duties and core tasks

  • Answering enquiries via email telephone or ‘walk-ins’

  • Assisting with group recruitment sessions – making up application packs, checking individuals’ documents, support prospective volunteers to complete forms, checking DBS forms, collating paperwork

  • Assisting with recruitment paperwork -  getting references, chasing references and tracking DBS forms

  • Keeping the volunteer database up to date

  • Keeping recruitment and training records up to date

  • Helping to organise volunteer training

  • Filing and keeping the office tidy

  • General administrative duties as requested

Skills, experience and qualities needed: 

  •  Excellent communication skills

  •  Excellent organisational skills

  •  The ability to communicate with a variety of people (face to face, email or phone)

  •  Experience of using Microsoft Office, Outlook, Word and Excel

  •  Ability to work accurately and with attention to detail

  •  Ability to learn quickly

  •  Patience, a calm manner and pleasant approach

  •  The ability to use your initiative or ask for an instruction

  •  Flexibility

  •  Able to work with minimum supervision (after training)

  •  Positive, supportive attitude

Training provided

  • NBT Induction training including Fire, Health & Safety, Safeguarding, Dementia

  • Orientation and induction to Voluntary Services

  • Training in office systems

  • Ongoing training to support personal development if required

  •  May occasionally need to work under some pressure or in a pressured environment

  • To maintain confidentiality regarding any information they see or hear

  • To maintain a professional attitude at all times 

 

Reimbursement of expenses

 

If volunteering for over 4 consecutive hours in one day:

  • Travel expenses to and from the hospital can be reimbursed up to a maximum of a 10 mile each way

  • Meal vouchers provided
